If you saw Josh Earnhart this week in our most recent video on Scan to Cloud, then you saw how simple it is to work from anywhere. Ricoh states, “almost half of employees spend 50% or more of their time working from non-traditional locations.” Giving employees access means more productivity as the employer and less stress on employees to hit deadlines. As Josh says, “it’s one of the coolest features in our industry.” Josh continues to explain how the cloud is basically a large warehouse full of servers that store information offsite for security in case of natural disasters. With scan to cloud, you have the ability to convert scanned documents into a digital format that is editable and searchable to either print, email, or share. A huge plus side to this is you don’t have to sign into a network when you’re away from work. You’ll save time with the process automated into one step. In the steps below, we use Google Drive in our example; but you can use services like DocumentMall and Dropbox too.

You will use the touchscreen, which is a smart panel so it operates like most tablets or smartphones. Google Drive is already setup on the device in the video, but you’ll want to make sure it is setup on yours as well. Once it is, click Google Drive and log in to your personal account. You’ll be asked different options, such as print the document or scan. With a scan, you’ll receive options about the color, format, and size. Your format options include Word, Excel, and PDF. Once it’s done processing and sending, you can see the document come up in your phone or tablet on your Google Drive account.
A little note on security: when some of your documents are locked, you can scan and integrate all of your billing, shipping, AP, and other documents into cloud-based applications. You have quick access to your organization’s cloud services and can enable employees to access, route, and print documents from mobile devices, anywhere you are. Security still on the brain?
